Gather the records you have
Existing maps, asset spreadsheets, inspection notes, site plans, and field photos are useful starting points. Make a list of what exists and who maintains it; it does not need to be perfectly organized.

Identify the people using it
A landowner, field crew, property manager, and board may need different views of the same information. Note their devices, typical tasks, and which information should stay private.

Choose a manageable first scope
Begin with one map, a data conversion, a property, or an asset class. Define the expected deliverables and how you will know the first phase is useful before expanding it.
